For small and mid-sized businesses, meetings are where decisions are made, tasks are assigned, and progress is tracked. But keeping up with everything-especially when teams are hybrid or remote-can be a challenge. That’s why the latest updates to Microsoft Teams are such a game-changer.

Copilot now includes two standout features designed to make meetings more productive and inclusive: Audio Recaps and the Facilitator Agent. Together, they help teams stay aligned, reduce admin, and turn conversations into clear outcomes.

Let’s take a closer look at what’s new, why it matters, and how SMEs can start using these tools today.

Audio Recaps: Your Meeting, as a Quick Listen

Ever missed a meeting and had to scroll through a transcript or ask someone what happened? With Audio Recaps, Copilot now generates a short, spoken summary of the meeting that you can listen to like a podcast.

You’ll hear the key decisions, who’s responsible for what, and any follow-up actions. These recaps are available in the Meet app, the meeting chat, and the calendar entry, on both desktop and mobile.

Real-world example
A five-person project check-in runs for 35 minutes. Two colleagues couldn’t attend. They open the meeting in Teams, tap Audio Recap, and within minutes they’re caught up on what was agreed, who’s doing what, and when it’s due.

Why it helps SMEs

  • Leaders can stay informed without slowing down the team
  • New starters get context quickly
  • Field teams can catch up between site visits

Facilitator Agent: A Virtual Chair That Keeps You on Track

Facilitator is Copilot’s new meeting companion. It helps before, during, and after the meeting to keep things focused and productive.

Before the meeting
Facilitator checks for an agenda in the invite or Loop notes and shares it in the meeting chat. If no agenda is found, it prompts participants to define goals.

During the meeting
It tracks time against agenda items, captures highlights and decisions, and answers questions in the chat. Notes are co-authored live so everyone can contribute. It also alerts participants when the meeting runs over and can suggest follow-up meetings.

After the meeting
Facilitator organises notes and pushes actions into tools like Planner and Loop. All content is accessible via the Recap tab in the meeting chat.

Real-world example
An operations review has ten agenda items and fifteen minutes to make decisions. Facilitator shows the agenda and timebox. When someone volunteers to chase a supplier, Facilitator captures the action, sets the owner, and offers to create a Planner task. After the call, the team sees the notes, decisions, and tasks in one place.

Why it helps SMEs

  • Meetings produce outcomes that stick
  • Timekeeping improves without extra admin
  • Everyone leaves with clear actions in the systems they already use

Working Together: Audio Recap + Facilitator

These two features complement each other beautifully. Use Facilitator to drive focus during the meeting, then rely on Audio Recap to help those who missed it get up to speed. This pairing reduces repeat meetings and cuts the time spent writing follow-up emails.

Teams Rooms support means hybrid groups benefit too, with the same agenda and notes visible in the room.

Licensing: What You Need to Access These Features

To use Audio Recaps and the Facilitator Agent in Microsoft Teams, your organisation needs the Microsoft 365 Copilot add-on licence, which is available for:

  • Microsoft 365 Business Standard
  • Microsoft 365 Business Premium
  • Microsoft 365 E3 or E5
  • Office 365 E3 or E5

The Copilot add-on costs £23.10 per user/month (annual) or £24.26 per user/month (monthly), with an annual commitment. Prices exclude VAT.

Without this add-on, users can access Copilot Chat, but it won’t integrate with your organisation’s data-meaning no meeting summaries, no task assignments, and no real-time insights from Teams.

Teams Premium is a separate licence that offers features like Intelligent Recap and branded meetings, but it does not include full Copilot functionality.

Beyond Meetings: The Copilot Agent Ecosystem

The meeting upgrades are part of a broader Copilot story. Microsoft has expanded its role-based agents for Sales, Service, and Finance, bringing AI-powered support into everyday workflows.

Sales
Build a deal support agent that pulls recent emails, meeting notes, and CRM updates, then proposes next best actions before the pipeline call.

Service
Create a triage agent that summarises customer chats, suggests replies, and raises tickets with the correct priority and product tags.

Finance
Use a finance insights template to query policies and reconcile invoices against purchase orders, with an audit trail in Teams.

With Copilot Studio, businesses can create or customise agents using templates and guided build steps. You can start from a template, connect your data, define instructions, and publish to Teams. For tasks that don’t have an API, Copilot Studio also supports secure desktop automation.

Getting Started

Here are three easy ways to try these features:

  • Turn on Copilot in Teams: Check your licensing and enable Copilot features for meetings.
  • Try Audio Recap: After your next meeting, open the Meet app and play the recap to see how well it captures the discussion.
  • Pilot Facilitator: Use it for a weekly stand-up or project review and let it capture decisions and actions.

Final Thoughts

The latest updates to Microsoft Teams make Copilot more useful in everyday work. Audio Recaps save time. The Facilitator Agent turns meetings into clear outcomes. Role-based Copilot and Copilot Studio help you apply the same gains across sales, service, and finance.
